Terms

Last updated 20 October 2026

These terms are the agreement between RM-RF SOFTWARE LTD (company number 17485608, registered office 66 Paul Street, London, EC2A 4NA; "we") and the business that subscribes to DoRoutes ("you"). DoRoutes is for businesses only; by subscribing, you confirm you are acting for your business, not as a consumer.

1. The service

DoRoutes is route planning, scheduling, quoting, tracking and job records software for firms that run vans, used in a web browser and through the DoRoutes Driver app. We provide it as an online service; you don't install or own a copy. We keep improving DoRoutes and may change how features work, but we won't remove a main feature of your plan during a term you have paid for without giving you 30 days' notice and the chance to leave with a pro-rata refund.

2. Your account

  • You choose who in your firm can use DoRoutes and what each person may do. You are responsible for what happens under your firm's account, and for keeping sign-in details safe.
  • Tell us at once at [email protected] if you think someone has used your account without permission.
  • You must not use DoRoutes to break the law, to send spam, to probe or overload our systems, or to copy or resell the service.

3. Plans and payment

  • Your plan sets how many vans DoRoutes plans for you and how many planned stops a month it includes. Prices are on our pricing page or in the offer we agreed with you. We aren't VAT registered, so no VAT is added.
  • Monthly plans are paid a month ahead and run month to month. Annual plans are paid a year ahead.
  • Planned stops beyond your plan's allowance are charged at the rate on the pricing page, on your next bill.
  • If a payment fails, we'll tell you and try again. If it is still unpaid 14 days after our notice, we may suspend your account until it is paid. We never delete your data for late payment while your subscription runs.
  • We may change our prices with at least 30 days' notice. A new price applies from your next billing period after the notice ends; an annual plan keeps its price until it renews.

4. Ending your subscription

  • You can end a monthly plan at any time; it stops at the end of the month you have paid for. An annual plan stops at the end of its year unless you renew it. We don't refund part-used periods, except as these terms say.
  • We can end your subscription with 30 days' notice, or at once if you seriously break these terms and don't put it right within 14 days of our asking.
  • You can download all your data at any time while your account is open. If you cancel, your account is paused when your paid period ends, and we delete your data 30 days later. If a payment fails and isn't made good, your account is paused straight away, and we delete your data 30 days after that. We email you the date. Until then you can download everything, or delete it at once yourself. We delete it from our systems at once, and from our backups within 30 days.

5. Your data

Everything your firm puts into DoRoutes stays yours. You give us permission to store and process it only to run DoRoutes for you, as the data processing terms below set out. We may use anonymous figures about how DoRoutes is used, which never identify you, your staff or your customers, to improve the service.

6. Availability and support

  • We aim to keep DoRoutes running at all times, but we don't promise it will never be interrupted. We plan maintenance for quiet hours where we can and tell you in advance about anything that will take DoRoutes offline.
  • Support is by email at [email protected] during UK working hours. We answer within one working day.
  • DoRoutes works with other services you choose to connect, such as your accounting software, Stripe or your website's domain. Those services are run by their own providers under their own terms, and we aren't responsible for them.

7. Routes and plans are advice

DoRoutes plans routes from the details you and your drivers enter, such as van sizes, weights and drivers' hours, and from map and traffic data. Your drivers must still follow the road, the law and their own judgement, and your firm stays responsible for its vehicles, loads and drivers' hours.

8. Liability

  • Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow to be limited.
  • Otherwise, we are not liable for loss of profit, revenue, business or goodwill, or for any indirect or consequential loss.
  • Our total liability to you in any 12 months is limited to the fees you paid us in those 12 months.

9. Changes to these terms

We may update these terms. We'll email you at least 30 days before a change that affects you, and the change applies from your next billing period after that. If you don't accept it, you can end your subscription before it takes effect.

10. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales decide any dispute.

Data processing terms

Your firm is the controller of the personal data it puts into DoRoutes, about its customers and its staff. We process that data as your processor, and these terms form the contract UK GDPR Article 28 requires.

  • What we process: your customers' and staff's names, contact details, addresses, job and payment records, and, for drivers on shift, their location, photos and signatures. We process it for as long as your subscription runs, and only to provide DoRoutes.
  • We act only on your documented instructions: these terms and the settings you choose in DoRoutes.
  • Everyone at RM-RF SOFTWARE LTD who can see your data is bound to keep it confidential.
  • We keep your data secure: encrypted in transit and at rest, with access limited to the people who need it and two-factor sign-in for staff accounts.
  • We use these sub-processors: Amazon Web Services (hosting, storage, email and text messages, in London), HERE Technologies (maps, routing and route planning) and Google (our support email). We'll give you 30 days' notice of a new sub-processor, and you can end your subscription if you object.
  • We help you answer requests from people exercising their data rights, and with security and data protection impact assessments, as far as DoRoutes is involved.
  • We tell you without undue delay, and within 48 hours, after we become aware of a personal data breach affecting your data.
  • When your subscription ends, or a failed payment isn't made good, we give you your data to download and then delete it, as section 4 sets out, unless the law requires us to keep it. Records you must keep by law, such as waste transfer notes and invoices, are yours to keep through that download.
  • We give you the information you need to show these terms are kept, and answer reasonable questions about our security.
